How Merlin's Carpet Cleaning collects, uses and protects the information you give us.

Merlin's Carpet Cleaning ("we", "us", "our") is a family-run carpet, rug, mattress and upholstery cleaning business. We are the data controller for the personal information described in this policy.

2. What information we collect

We only collect what we need to give you a price and carry out the work:

  • Contact details you give us β€” your name, phone number, email address and postcode.
  • Job details β€” the rooms, rugs, mattresses or furniture you would like cleaned, and anything you tell us about stains, pets or access.
  • Your address, once you book, so we know where to come.
  • Correspondence β€” messages you send us by email, WhatsApp, text or through the form on this website.
  • Basic technical information collected automatically by our web host and caching software, such as your IP address and browser type, used to keep the site secure and working.

We do not ask for, and you should not send us, payment card details by email or through this website.

3. How we use your information

  • To reply to your enquiry and give you a quote.
  • To arrange, carry out and invoice the work you have booked.
  • To contact you about your booking, including if we need to change a time.
  • To keep our own records of work carried out, and to deal with any questions or complaints afterwards.
  • To meet our legal and accounting obligations.

We do not sell your information to anyone, and we do not add you to a marketing list without your agreement.

4. Our lawful basis

Under UK data protection law we rely on:

  • Legitimate interests β€” responding to an enquiry you have sent us and running our business properly.
  • Performance of a contract β€” carrying out the cleaning work you have booked.
  • Legal obligation β€” keeping financial records for the period required by law.
  • Consent β€” where you have specifically agreed, for example to receive an occasional offer. You can withdraw consent at any time.

5. Who we share it with

We keep your information to ourselves wherever possible. It may be handled by:

  • Our website host, who stores and serves this site.
  • Our form provider, which delivers messages sent through the quote form on this website straight to our email inbox.
  • Our email and messaging providers, including WhatsApp if you choose to message us that way.
  • Our accountant and HMRC, where invoices and records are involved.

We will also disclose information where we are legally required to do so.

6. Cookies and this website

This website does not use advertising or tracking cookies. Your browser may store small functional items set by WordPress and by our caching software, which keep the site running and loading quickly. Some fonts and scripts are loaded from third-party servers, which will receive your IP address as part of that request.

You can block or delete cookies in your browser settings at any time. The site will still work.

7. How long we keep it

Enquiries that do not lead to a booking are kept for up to 12 months, then deleted. Records of completed work, invoices and payments are kept for six years, as required for tax purposes. Messages and correspondence are deleted once they are no longer needed.

8. Your rights

You have the right to:

  • Ask what personal information we hold about you and receive a copy.
  • Ask us to correct anything that is wrong.
  • Ask us to delete your information, where we no longer need it.
  • Ask us to restrict or object to how we use it.
  • Ask for your information in a portable format.

Just get in touch using the details above and we will deal with your request within one month. There is no charge.

9. Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it was last changed.
